Brasfield & Gorrie is looking for a service-minded Administrative Assistant to join our corporate Human Resources department and specifically partner with our recruiting team.


Responsibilities and Essential Duties include the following (other duties may be assigned):


  • Responsible for scheduling candidate interviews (in-person, video, phone) in a fast-paced environment
  • Consult with corporate and campus recruiters as well as hiring teams across the company to ensure interview timing and durations are maximized for the teams’ and candidates’’ needs
  • Communicate (phone, email, text) and coordinate directly with candidates to schedule interviews while providing a best-in-class candidate experience
  • Greet candidates, conduct office tours and escort candidates to their interview rooms
  • Monitor and ensure the smooth transitions between interviewers during scheduled interview times
  • Plan recruiting team outings and events– schedule travel, meals, activities, and event space
  • Plan special celebrations for team – shower planning, birthdays, etc.
  • Assist with report and presentation formatting
  • Provide applicant tracking system (iCIMS) assistance as needed including resume uploads, systems clean up, notes upload, reporting
  • Maintain education tracking and reports for new hires and terminations
  • Work with iCIMS and Salesforce software systems for reporting and student information maintenance
  • Partner with Recruiters on selecting and sending gifts and giveaways (holiday, exams, GPA, career fair, interview, etc.)
  • Assist in preparation of student events, including ordering meals, materials, supplies, etc.
  • Assist with career fair event registration and payments
  • Coordinate mileage and interview expense reimbursement
  • Prepare and submit check requests
  • Assist with student program onboarding, terminations, living allowances, grade tracking and other paperwork transactions
  • Provide additional administrative assistance where needed

Education - Skills - Knowledge - Qualifications & Experience

  • Bachelor’s degree required
  • 5+ years of professional experience with experience in an administrative role strongly preferred
  • Proven proficiency in computer skills, including Microsoft Outlook, PowerPoint, and Excel
  • Sense of urgency and ability to successfully work in a fast-paced environment
  • Experience dealing with confidential matters
  • Team-oriented, possess a positive attitude, and work well with others
  • Strong ability and passion for building relationships
  • Excellent communication skills, including face-to-face, phone, and email correspondence
  • Ability to stay organized and proactively create and manage multiple daily schedules
  • Flexibility and adaptability to changing scenarios, audiences, schedules, and situations while maintaining a positive attitude
  • Self-motivated and service-minded
