  • Responsibilities

    Responsibilities and Essential Duties include the following (other duties may be assigned):

    • Greet guests in a professional, friendly, hospitable manner
    • Professionally answer all incoming calls and ensure all calls are redirected accurately. Provide callers with information such as company address, directions to the company location, company fax numbers, company website, and other related information
    • Assist in the ordering, receiving, stocking and distribution of office supplies
    • Update and distribute various directories and lists monthly including weekly financial reports
    • Maintain calendar of conference room appointments and training room events
    • Maintain calendars and appointments for management
    • Arrange events or conferences including regional team building events for management
    • Make travel arrangements, airline, car rentals, etc., as needed
    • Transcribe dictation, write letters and memos, and respond to correspondence
    • Assist management and estimating staff with transmitting project drawings, revised drawings, specifications, project meeting minutes, transmittals and submittals
    • Process invoices
    • Assist with invoice and pay application processing, change orders, and purchase orders
    • Assist with other related clerical duties such as photocopying, faxing and filing
    • Assist with budget planning and monthly financial projections
    • Responsible for regional coordination of mobile devices
    • Responsible for coordinating activities and reports for business development


    Education - Skills - Knowledge - Qualifications & Experience

    Education, Skills, Knowledge, & Experience:

    • Bachelor degree strongly preferred
    • Two years of administrative experience or college degree with experience in skill set above
    • Proficient working knowledge of Microsoft Office applications (Word, Excel, Outlook, etc.)
    • Experience working in Prolog and Salesforce preferred
    • Experience with a construction company preferred
    • Must be customer service driven
    • Must be self-motivated, organized, ethical, competitive, detail-oriented, and a team player
    • Must have strong work ethic and be willing to do what it takes to get the job done
    • Must pay great attention to detail and the ability to recognize discrepancies
    • Must have ability to work effectively in a team environment as well as independently
    • Must thrive in a fast-paced work environment
    • Must demonstrate excellent written and oral communication skills, including excellent phone etiquette
    • Must be able to maintain strict confidentiality
    • Must be able to work with a diverse group of people
